Buy what was negotiated, at the rate that was negotiated

Catalogue is iProcure's guided buying module. Requesters browse approved items from approved vendors at the rate fixed in the contract, as easily as shopping online. A cart becomes a requisition, split by vendor and cost centre, with the right codes already on every line. Every price and specification change is tracked, so nobody buys at yesterday's rate.

A rate was negotiated in March. By June, half the orders for that item are placed at whatever the vendor quoted that day.

Requisitions with the wrong codes

Item codes, units and tax classifications are typed by hand, and finance fixes them at invoice time.

Requesters email procurement to ask which vendor to use. Procurement answers the same question every week.

Vendor price lists in PDFs

A supplier's revised price list sits in an inbox. The catalogue still shows the old price.

Browse like a shop, buy like procurement

Requesters find what they need by category, price, vendor or rating, and every item shows the approved vendor and the contract rate. No more emailing procurement to ask.

Cart to requisition

One requisition from the cart, split by vendor and cost centre. Rates are held to the contract and cannot creep above it, and the requisition follows your usual approvals.

One clean item master

A single, well-organised list of what you buy, each item mapped to its approved vendors and the right tax code, so requesters find the right item first time.

Every change on the record

Every price or specification change records who changed what, and when. Each item links back to the contract that fixed its rate, so the audit trail is complete.

Vendor updates you approve

Suppliers propose price and specification changes, and your buyers accept or reject them. Nothing overwrites your catalogue silently. The demo shows a vendor update arriving.

FAQ

Questions about catalogue

Does every cart need procurement's approval?

Every requisition from the cart follows the approval chain your organisation sets, and approvers can decide from email on a phone. Rules that skip steps for low-value orders against a contract, or route by department and project, are coming next. Until then, you set one chain for the module.

How do contract rates get into the catalogue?

An award or a contract fixes the rate, and the catalogue item links back to it. In the cart, the rate cannot be raised above the contract. If your contracts live elsewhere, items and rates come in through the import wizard, with a check before import and undo after.

Can vendors maintain their own catalogue?

Yes, with your approval. A supplier's price or specification change arrives as a proposal your buyer accepts or rejects, so nothing overwrites your catalogue silently and every change is on the record. This is shown on sample data today; the Catalogue module is not yet live.

Is Catalogue sold on its own?

Catalogue is sold together with PR to PO, because a cart that cannot become an order is not much use. Together they stand alone: a requisition can start from a request or an imported award, and the purchase order is designed to flow on to your ERP, so nothing is retyped.
