Keelvar + Malbek + Ariba: the three-tool stack

A fair look at the three-tool procurement stack: what Keelvar, Malbek and SAP Ariba or Coupa each do best, who it suits, and who needs one product.

The three-tool procurement stack pairs Keelvar for sourcing and award optimisation, Malbek for contract lifecycle management, and SAP Ariba or Coupa in the middle for purchasing and invoices. It suits large global enterprises with complex, high-volume sourcing and the team to integrate three products. Mid-sized teams running everyday RFx on email and Excel usually need one product across the span instead.

What does each tool do best?

Keelvar: sourcing depth

Keelvar is a best-of-breed sourcing layer. Its strengths are real and hard to match:

  • Award optimisation. It models very large numbers of award combinations across price, risk, sustainability, capacity and contract terms, with constraints written in plain language. This finds allocations a person cannot work out in Excel.
  • Autonomous sourcing. Its assistant, Kai, and category agents can take a request and run spot quotes and RFIs with little buyer effort.
  • Rate management. A rate hub that can start a sourcing event before a rate expires or drifts from benchmark.
  • Large and complex events. Expressive bidding with conditional discounts and bundles, thousands of line items, and lane-based freight tenders with live market indices.
  • Fast and additive. It sits on top of SAP Ariba, Coupa and the ERP, and says it goes live in days, with its team running your first events.

Malbek: the contract lifecycle

Malbek is a contract lifecycle management (CLM) product with contract intelligence on top:

  • Recognised CLM. It cites a Leader position in the 2025 Gartner Magic Quadrant for CLM.
  • Self-service contracting. Requesters work from approved templates, and Malbek reports that 80% of templates no longer need legal review.
  • Portfolio questions. BusinessIQ answers questions across the contract portfolio with citations.
  • Configured, not coded. Business admins configure it, including integrations: "clicks, not code".
  • Strong on amendments and renewals, with clickwrap (Klix) for audit-ready acceptance, and both buy-side and sell-side contracts.

SAP Ariba or Coupa: the transactional middle

The suite sits between the two. It carries requisitions, purchase orders, invoices and the supplier network, and connects to the ERP. In the three-tool pattern it is the system of record for buying, while Keelvar decides the award and Malbek governs the contract. More in our Ariba and Coupa stack comparison.

Who is the three-tool stack for?

It is the right answer when most of these are true:

  • You are a large global enterprise, already running SAP Ariba or Coupa.
  • Your sourcing is complex and high-volume: freight lanes, direct materials, hundreds of suppliers per event.
  • You need award optimisation or autonomous tail-spend sourcing this year, not next.
  • Your legal team manages sell-side as well as buy-side contracts.
  • You have an integration team and budget to connect three products and keep them connected.

For that buyer, each tool is the best at its job, and the combination is strong.

What does the stack cost in seams?

Every product in the stack has an edge, and data has to cross each one.

  • Keelvar stops at the award. It hands the result to Ariba or Coupa for contracts, orders and invoices.
  • Malbek starts at the contract request. Nothing before it: no RFx, no evaluation, no award.
  • The supplier's promises have to travel. A committed warranty, lead time or SLA in the RFx response must be carried into the contract, then into the order. Where the integration does not carry it, someone retypes it.
  • Three vendors, three logins, three renewals. And often three approval flows for one purchase.

None of this is a flaw in any single tool. It is the cost of choosing the best tool for each step.

Who is it not for?

A company of 200 to 10,000 people, with a procurement team of a few dozen at most, that runs sourcing on email, Excel and follow-ups. It may not run Ariba at all, or runs it with low adoption. It will not buy and integrate three tools to fix an RFx process that lives in inboxes.

That team needs the everyday RFx done properly, an evaluation many people can score fairly, approvals leaders will actually give, and the award carried through to the contract and the order without retyping.
